How to Calculate Break-Even Point for Any Business (Formula & Guide)

Before launching a new product, opening a retail store, or scaling an e-commerce brand, every business owner must answer one critical question: How many units must we sell to cover all costs and avoid losing money?

This zero-profit threshold is called the Break-Even Point (BEP).

The Break-Even Formula Explained

Your break-even point occurs when Total Revenue = Total Costs (Fixed Costs + Variable Costs).

Fixed Costs divided by (Price Per Unit minus Variable Cost Per Unit).

Where:

  • Fixed Costs: Expenses that stay constant regardless of sales volume (rent, salaries, software subscriptions, insurance).
  • Variable Costs: Costs directly tied to producing each unit (raw materials, packaging, shipping, payment processing fees).
  • Contribution Margin: Price Per Unit minus Variable Cost Per Unit.

Real-World E-Commerce Example

Imagine launching a premium leather bag business:

  • Monthly Fixed Costs: $12,000 (office rent, employee salaries, marketing retainer)
  • Selling Price Per Bag: $150
  • Variable Cost Per Bag: $50 (materials, manufacturing, shipping)
  • Contribution Margin: $150 - $50 = $100 per unit

Break-Even Units = $12,000 / $100 = 120 units per month.

Break-Even Revenue = 120 × $150 = $18,000 per month.

If you sell 119 bags, you lose money. If you sell 121 bags, you generate net profit.

3 Strategies to Lower Your Break-Even Threshold

  1. Increase Product Prices: Raising prices by 10% increases your contribution margin directly.
  2. Renegotiate Supplier Variable Costs: Bulk purchasing reduces variable cost per unit.
  3. Audit Fixed Overheads: Reducing monthly recurring software or office lease costs directly lowers required sales volume.
